MIS & ERP / Case study
One joined-up view of stock, orders and finance
We brought stock, purchasing, sales and finance together for a retail and distribution business, then built management reporting around a shared set of business records.
- less weekly reporting preparation
- 88%
- fewer duplicate data entries
- 70%
- month-end financial close
- 5 days
The starting point
The challenge
The company’s 48 staff worked across three locations using separate stock, sales and finance records. Preparing the weekly management pack took six hours, and around 240 records were re-entered between systems each week. Month-end reconciliation was delaying the financial close, which took eight working days.
The delivery
How we
delivered it.
- 01
Mapped the business processes
We worked with purchasing, warehouse and finance teams to identify repeated entry, manual handoffs and the reports managers needed.
- 02
Configured the cloud ERP
We set up purchasing, stock and finance workflows, with access matched to staff responsibilities and agreed approval rules.
- 03
Connected the management information
We cleaned and migrated the core records, connected sales information and built a cloud MIS dashboard for stock, order and financial reporting.
- 04
Rolled out with the team
We ran user acceptance sessions at each location, trained the 48 staff and introduced the workflows in phases.
The outcome
A stronger
way forward.
- Weekly management reporting reduced from six hours of preparation to 45 minutes, an 88% reduction rounded to the nearest whole percent
- Duplicate data entry reduced from 240 to 72 records per week, a 70% reduction
- Month-end financial close reduced from eight to five working days
- 48 staff trained to use the connected ERP workflows and management dashboards
How we measured the results
We reviewed the first 12 weeks after rollout against the pre-project baseline, tracking the same report pack, repeated entries and finance close process. Percentage figures are rounded.
